Flight delayed or early? How a private airport pickup adapts

Delayed, early, diverted or canceled flights at Sea-Tac and Paine Field: how a private chauffeur adjusts the pickup, and what to send so the ride follows you.
When you book a private airport pickup with your flight number, the chauffeur follows the flight rather than a fixed clock. If the plane lands late, the pickup moves with it; if it lands early, the car is planned to be there for the new time. Diversions and cancellations need a quick message so the plan can change with you.
Schedules slip. Northwest fog, a late inbound aircraft or a ground stop somewhere else in the country can push an arrival back by an hour or more, while a tailwind across the Rockies can bring it in twenty minutes early. Here is how a well-run pickup absorbs those changes, and the small things you can do to help.

Why the flight number matters more than the landing time
A landing time on a reservation is a guess made days in advance. The flight number is the thread that connects your trip to what is happening in real time. With it, dispatch can see departure from the origin airport, the updated estimated arrival and, eventually, the actual landing.
That is why we ask for the airline and flight number with every arrival request. If you are traveling on a codeshare, give the number of the airline actually operating the aircraft, which is usually printed on your boarding pass.
When the plane lands late
A modest delay is the most common change and usually the simplest. Because the chauffeur's timing is based on the tracked arrival, the pickup simply shifts. You do not need to call to report a delay that already shows in the airline's system.
Longer delays, especially ones announced before you board, are worth a quick message. They can affect which chauffeur and vehicle are available, and on very late nights they can change the plan for the drive home. Waiting time is reflected in the quote, so ask how long delays are handled when you book.
When the plane lands early
Early arrivals catch more people off guard than late ones. An aircraft that pushes back on time and finds favorable winds may be at the gate well before schedule. Because the chauffeur follows the live arrival estimate, the pickup is planned around the new time rather than the original one.
On your end, a short message when you land is helpful. If you are carrying on only, you can be at the curb remarkably fast, and a heads-up gives the chauffeur time to move the car into position.

Diversions, missed connections and rebooking
Some changes do not show up neatly under your original flight number.
- **Missed connection:** If you miss a connection in another city and are rebooked, the original flight will land without you. Send the new flight number as soon as you have it.
- **Diversion:** Weather can divert a flight to another airport. If the aircraft continues to Seattle later, the pickup can follow; if the airline buses passengers or cancels the segment, let us know your new plan.
- **Paine Field instead of Sea-Tac:** If you rebook onto a flight into Everett, we serve both airports. See our Paine Field car service page for that terminal.
- **Overnight cancellation:** If the trip will not happen until the next day, tell us so the reservation can be moved rather than left waiting.
The rule of thumb is simple: if your flight number changes, we need the new one.
The two-minute message that keeps everything on track
You do not need to narrate the trip, but a few short updates make a difference.
1. When you board the last flight, if anything has changed since booking.
2. When you land, especially if you are early or if your phone was off for a while.
3. When you have your bags, if you chose curbside pickup.
Save the reservation details offline before you fly so they are available even if your phone has no signal on landing. Our guide to how a Sea-Tac arrival pickup works explains what to send before you travel.
International and late-night arrivals
International flights carry an extra variable: customs. Even an on-time landing can mean a long wait at passport control, so the chauffeur plans around the inspection process as well as the flight itself. Our article on Sea-Tac international arrivals covers that sequence step by step.
Late-night arrivals that slip past midnight are another case where an early message helps. Requests are welcome 24/7, but confirming the plan before you board means you will not be wondering about the ride while the aircraft taxis in.
How delays fit into a written quote
A private pickup is quoted for its itinerary, and the quote reflects distance, extra stops and waiting time. That means a long delay is not a surprise to manage on the day; it is something to understand up front. When you request a ride, ask how flight delays and extended waits are handled for your particular trip, and the answer will be part of your written confirmation. Current rates are on the pricing page.

FAQ
Do I need to call if my flight is running an hour late?
Usually not, as long as you booked with your flight number and the delay shows in the airline's system. A short message is still welcome if the delay was announced before departure.
What should I do if my flight number changes after a missed connection?
Send the new airline and flight number as soon as you are rebooked. The original flight will still land, and without the update the pickup would be tracking the wrong aircraft.
What if my flight is diverted to another airport?
Tell us where you landed and what the airline is offering. If the flight continues to Seattle later, the pickup can follow it; if not, we will work out the best alternative with you.
Does an early arrival mean I have to wait for my car?
The chauffeur follows the live arrival estimate, so the pickup is planned around the new time. A message when you land helps, especially if you have no checked bags.
Can my reservation move to the next day if my flight is canceled?
Let us know as soon as the airline rebooks you, and we will see what can be arranged for the new date. Ask about how changes are handled when you first book.
